Purpose:

We have secured funding for a 12-month contract for an experienced administrator to support the smooth running of Wiltshire Digital Drive’s day-to-day operations.

Key Duties:

  • General administration, including diary management, updating spreadsheets and databases.
  • Acting as first point of contact for enquiries by email and telephone from supporters, applicants and volunteers.
  • Coordinating collections from businesses and donation stations across the county, including organising the rota for our volunteer drivers.
  • Supporting the application process, from responding to applicants to issuing terms and conditions.
  • Preparing laptops for collection, including cleaning, bagging and tagging.
  • Carrying out regular audits with recipients.
  • Supporting the Director with project work, event organisation and research.
  • Helping to further promote WDD’s work through supporting the Director to gather testimonials and case studies.
  • With appropriate training and support, to managing our social media channels, including twitter, LinkedIn and our Facebook group to raise our profile, increase awareness and drive donations.
  • Any other duties commensurate with the level of this post as reasonably requested by your line manager.
  • To work in a manner which protects your own Health & Safety and that of others.

  • Enquiries are handled promptly, professionally and in a timely manner.
  • Our records are accurate, well organised and in line with any funder requirements.
  • Your admin and organisation skills support the smooth running of our operations, ensuring laptops are processed and issued swiftly to help as many people as possible.
  • Audits, testimonials and case studies help demonstrate the impact of our work, which helps to raise our profile and support our case for further funding.
  • Any social media activity is engaging and uses appropriate images, spelling and grammar.

 

PERSON SPECIFICATION

Office Administrator

KNOWLEDGE, TRAINING AND QUALIFICATIONS

ESSENTIAL:

  • Good written English shown by a qualification in English Language at Level 2 or above
  • Good numeracy skills shown by a qualification in Maths at Level 2 or above

SKILLS AND EXPERIENCE

ESSENTIAL:

  • High attention to detail including good use of grammar and spelling
  • Time management and organisational skills
  • Good administrative skills, including a working knowledge of MS Office packages
  • Confident, professional and friendly telephone manner
  • Ability to build effective working relationships with a wide range of stakeholders

DESIRABLE:

  • Marketing, PR and/or social media experience

ESSENTIAL:

  • Passionate about our mission to provide technology to enable learning and remove barriers to education.
  • Self-motivated and enthusiastic

CIRCUMSTANCES
